Coordinators plan recurring work once and let it generate itself, fill a same-day gap by offering the shift to everyone who is free rather than ringing down a list, and get warned before a certificate expires rather than after somebody has already worked on it. Staff get an installable phone app with shift alerts and one-tap check-in that records where and when they arrived. Clients and families get their own portal to request work, see who is coming, pay and leave a review.

Because check-in records the hours actually worked, invoices and staff payouts come from the same record, so the number a client disputes and the number the agency can evidence are the same number.

Most agencies this size run on a spreadsheet for the schedule, a WhatsApp group for the team, a folder for certificates, and a separate tool for invoices. None of those is bad on its own. The handovers between them are where bookings get dropped, certificates lapse unnoticed and invoices go out wrong, and the person absorbing all of it is the owner.

Rostavo does three things.

It fills the work. Recurring bookings generate themselves from a pattern set once. A same-day gap is offered to every member of staff who is free and close enough, and the first to accept is assigned automatically while everyone else is told it has gone. Best-match suggestions rank who to offer a job to by availability, distance, history with the client and current workload, and show the reason for each.

It keeps the agency compliant. Background-check status and documents such as DBS, first aid and right to work are stored as dated records with alerts before they expire, so a lapse is caught in advance rather than discovered by a client.

And it gets the agency paid. Staff check in and out on their phone, with geofencing to confirm they were on site. Invoices are generated from completed work, clients pay by card online, and overdue chasing is built in. Staff payouts come from the same verified hours.

Alongside that: real-time messaging between coordinators, staff and clients; a recruiting pipeline with an apply form you embed on your own website; candidate shortlists you send a client as a link with no login; e-signature agreements; ratings and reviews; custom fields and a form builder; and separate self-service portals for staff and for clients.

Every feature is included for every agency. Rather than paying for a higher tier, you switch off the areas you do not use. Currency, language, timezone and country are set per agency.
